Job Description

Under general supervision, coordinates, oversees, and performs a wide variety of administrative support activities for the Dean of the College of Graduate Studies. Provides and coordinates staff and office support. May serve on a variety of committees in a support capacity. Manages the full range of business activities including reviewing and approving business documents and developing, monitoring, and reporting accounts, budgets, and other quantitative data.

Salary Range: $48,000–$50,000

Responsibilities:

• Provides comprehensive administrative and office support to the Dean of the College of Graduate Studies by coordinating and executing a wide range of administrative functions, including managing and screening communications, coordinating travel arrangements, responding to administrative inquiries, and supporting efficient day-to-day operations. 
• Coordinates meeting logistics, including reserving rooms, arranging Zoom or Teams access, preparing meeting materials, and confirming locations and other logistical needs.
• Purchases office supplies and other routine goods and services in accordance with university purchasing procedures and helps maintain appropriate office supplies and event materials. 
• Coordinates logistics for college events, workshops, orientations, and other activities, including room reservations, catering and food purchases, supplies, setup, and vendor coordination. 
• Manages the full range of business and fiscal activities. 
• Records minutes, tracks deliverables, and synthesizes policy recommendations for leadership. 
• Participates in the hiring and training of new staff and student workers. 
• Assists with the management of financial transactions, including assigning costs to appropriate accounts and projects. 
• Plans, develops, implements, coordinates, and monitors programs or services. 
• Gathers, tracks, and analyzes qualitative and quantitative graduate program data. 
• Develops and recommends policies, procedures, and guidelines. 
• Prepares and analyzes business reports.
• Manages allocations and reporting on unit facilities, furnishings, and equipment. 
• Manages cash handling activities and unit capital equipment purchasing. 
• Serves as accountability property officer and liaison with financial, payroll, and human resources units.
• Interprets System policies and regulations and University rules. 
• Develops complex administrative, financial, and statistical analyses and summary reports. 
• Manages maintenance of business files. 
• Implements and audits business procedures and trains staff on new and existing procedures. 
• Establishes, implements, and audits unit procedures for special activities and programs. 
• Manages personnel activities including preparing position analyses, updating position descriptions, and developing employment offers. 
• Communicates with employees regarding personnel policies and procedures and identifies training needs. 
• Performs other job-related duties as assigned.

Required Education and Experience:

• Bachelor’s degree or higher in related field.
• Five (5) years of experience.

Preferred Education and Experience:

• Master’s Degree.

Knowledge, Skills, and Abilities:

• Proficiency with Microsoft Office applications, including Word, Excel, Outlook, Teams, and related productivity tools. 
• Strong organizational, planning, and time-management skills, with attention to detail. 
• Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment. 
• Strong interpersonal, written, and verbal communication skills. 
• Ability to work collaboratively and professionally with faculty, staff, students, administrators, and external partners. 
• Knowledge of budgeting, purchasing, travel, and general business and administrative processes. 
• Ability to coordinate calendars, meetings, travel arrangements, events, workshops, and associated logistics. 
• Ability to learn and use university administrative systems and processes. 
• Ability to work independently, take initiative, and appropriately prioritize competing responsibilities.
